“I used to keep a spreadsheet and a wall calendar. I missed my DEA renewal by three weeks. That was a $3,000 fine and a week I can never get back.”
Independent pharmacist owner, North Carolina
Name withheld; verified customer.
DEA, pharmacy permit, pharmacist license, Medicare, Medicaid, three PBM credentialings, CE hours. Different cycles. Different agencies.
A calendar alert is easy to dismiss. By the time your DEA lapses, you can't fill controlled substances, and that's on you.
Renewal dates, who renewed, when it was renewed. An audit trail you can hand to a state inspector in under a minute.
We pull your pharmacy name, address, and taxonomy from CMS automatically.
We auto-seed renewals based on your state's rules. Placeholder dates are flagged clearly.
Check each auto-seeded date against your actual license. Takes 5 minutes.
Email at T-120, 90, 60, 30, 7, and day-of. SMS escalation for T-7.
Starts with a heads-up email at T-120 days. Escalates to SMS at T-7 if unread. Secondary contact CC'd at T-3.
DEA numbers and license numbers are masked by default. Reveal requires a click, and writes an audit entry.
Every action is timestamped: who renewed, when, what the new date is. Hand it to a board inspector in one click.
A single 0–100 number that tells you at a glance whether anything needs attention today.
Run 5 locations? See all of them on one screen with per-location scores and a CSV export.
We know the renewal cycles for NC, FL, TX, CA, NY, GA. Auto-seeded from day one, just verify the dates.

Do you verify my renewal dates with state boards?
No. RxLoom tracks deadlines you provide, and auto-seeds estimates from state rulesets as a starting point. Always verify dates against your actual licenses. We flag auto-seeded dates clearly with a ◇ symbol.
What happens if I miss a renewal?
RxLoom sends reminders; the act of renewing with the state board, DEA, or CMS is still yours. We make sure you never forget it's due.
How is my DEA number stored?
DEA numbers and license numbers are encrypted at rest using pgsodium on Supabase. They display as masked (e.g., BP•••2847) by default. Revealing one requires a click and writes an entry to your audit trail.
What states do you support?
NC, FL, TX, CA, NY, and GA are fully seeded. Any pharmacy in any state can use RxLoom, you'll just enter dates manually for states we haven't built rulesets for yet.
Can I add more stores?
Yes. The first store is $6.99 per month after the trial. Each additional store is $2.99 per month.
Can I add staff members?
Yes. Staff roles are PIC, Manager, and Viewer, so each team member can see only what they need.
What if I cancel?
No confirmation screens, no guilt. Cancel from the billing portal. You have 60 days of read-only access, then we email your full data as CSV before deletion.
Set up your renewal thread in 90 seconds. No credit card required.
